what the office keeps, for how long, and who else sees it

What this site keeps, and for how long

The office holds very little. Nearly all of it arrives because you typed it into a form, and nearly all of it exists so somebody can write back to you with a figure.

One item on the form travels further than the rest: how much you intend to carry.

Three kinds of information reach Driftwood Chronicle Bookings LLC on a normal day: what you type into a quote form, what a browser sends when it loads a page, and what an operating company sends back after it has priced a trip. Nothing is bought from a list broker, and no profile is assembled about you from other sites.

What arrives, and where from

From the quote form
Your name, an email address, a telephone number if you choose to give one, the party size, the dates or the month you are aiming at, the step you are looking at, and how much you intend to carry
From your browser
The page requested, the time, an abbreviated IP address, and the referring page if there was one, written into a server log
From an operating company
Availability, a per person figure between $1,640 and $3,640, and any condition attached to it, sent back so the office can pass it to you

The carry figure needs saying plainly. Trips filed under an-hour, half-a-day and no-road all depend on a carry arrangement, and the operating company cannot quote one without knowing roughly what weight is coming. So the number you enter is repeated in the request the office sends onward, alongside your first name, the dates and the party size. It goes to one company, the one holding the trip you asked about, and it goes nowhere else.

How long each item stays

What this site puts on your machine

Set only after you submit a form, so a reload does not send the same request twice; gone when the browser closes

You can refuse all of it in the browser and the forms still work. The only visible effect is that the site stops remembering which step you were on.

What the office does not do

Your details are not sold, rented, bartered or handed to a mailing list. There is no mailing list here, so nobody is added to one. The office does not take payment, which means no card number, no bank detail and no account credential ever arrives here to be lost. Passport numbers, dates of birth, medical notes and identity documents are not asked for on any form on this site, and if one is sent anyway it is deleted rather than filed. The office does not sell insurance and does not handle visas or passports, so no information of that kind belongs here either.

Two things do leave the office. The first is the request described above, sent to a single operating company. The second is ordinary business record keeping: an accountant sees invoices, and a request from a court or a regulator is answered as the law requires.

If the person writing is not yet sixteen

The forms are meant for adults booking travel. Driftwood Chronicle Bookings LLC does not knowingly keep information supplied by anyone under sixteen. Where a party includes children, the office needs ages only because a room or a berth is allocated by age, and the parent or guardian sending the enquiry supplies them. If you believe a child has filled in a form without a parent knowing, write to tideline@driftwoodchronicle.com and the record will be removed.

Asking us what we hold on you

Write to tideline@driftwoodchronicle.com or call (918) 496-2748 and ask for a copy of your file, a correction to it, or its deletion. Anything you send is looked at before the working day ends. A copy of a file takes two to four working days to put together, because enquiries and the replies to them sit in more than one place and somebody reads through them before anything is sent. There is no charge. Deletion is done unless a booked trip sits inside the seven year window described above, in which case the commission record stays and everything around it goes.

Complaints go to the same address first. If the answer does not satisfy you, Driftwood Chronicle Bookings LLC is registered with the Oklahoma Secretary of State and you are free to take it further.

The date at the foot of the ledger

This notice is rewritten whenever the office changes what it collects or who it passes a request to, and the version on this page is the one that applies. Nothing is applied backward: information already held is kept under the terms in force when it arrived, and if a change would affect an enquiry still open, the office says so in the reply rather than leaving you to find it here.
